Who You Are

The Receptionist/Office Administrator will ensure that the office runs smoothly and provide advanced administrative support for the entire company.

Responsibilities

  • Answer phone and greet visitors
  • Support the Executive Admin in meeting preparations, including meals, accommodations, equipment, etc. for Board of Directors meetings, Scientific Advisory Board meetings, and company events
  • Maintain employee snack supplies for the break room; manage order and delivery process and check in regularly to assure snacks are available for employees
  • As requested, order lunches/prepare coffee/etc. for meetings
  • May support senior staff members with various administrative activities, including meeting and conference scheduling, travel arrangements, expense submissions, and general calendar management
  • Develop and oversee the systems and processes related to the company’s effective early-stage operation (e.g., telephones, fax machines, facilities maintenance, etc.).
  • Collect and prepare information for use in discussions/meetings of executive staff and outside individuals
  • Ensure that various administrative tasks are complete in an effective and efficient manner
  • Organize and maintain administrative processes essential to the company
  • Handle details of a highly confidential and critical nature in a professional and discreet manner
  • Develop and maintain systems that allow for administrative efficiency
  • Use professional concepts and company objectives to resolve complex issues in creative and effective ways
  • Collaborate with and support internal cross-functional team and external parties
  • Communicate effectively with all levels of employees and outside contacts
  • Mail: Sort, scan through invoices and/or other essential things
  • Packages: Receive, contact recipient, and send out to their personal address if need be
  • PPE: Stock, refill Personal Protective Equipment as needed
  • C-19 Protocols: Update tracker daily to keep track of who has been in the office as well as enforce other protocols
  • Other assigned duties as needed

Education, Experience & Skills Requirements

  • Bachelor’s degree or equivalent experience
  • Minimum 2-4 years or equivalent work-related experience
  • Highly proficient MS Office Suite
  • Excellent written and verbal communication skills
  • Ability to stay focused, efficient, and effective in managing multiple priorities
  • Professional demeanor and ability to defuse emotional situations in a calm manner
  • Strong interpersonal skills and good judgment
  • Proven ability to work independently to achieve accomplishments
  • Able to stay calm under pressure
